What is document scanning?
Document scanning is the process of using document scanning software and high-speed document scanners to convert an image of the paper to a digital picture. These electronic images can then be indexed and stored in a document storage system which gives your users the ability to search through millions of documents in a matter of moments.
How are documents indexed?
Documents are indexed based upon customized criteria set by you (the customer). You tell us the fields you and we return the documents on CD-Rom or DVD indexed according to your specifications. We also offer Full Text Indexing using OCR (Optical Character Recognition) we create a text file of your complete image. This method allows the user to search the database by any word or part of a word in the document.
What types of documents can be scanned?
All types of documents can be scanned. We handle sizes ranging from 3x5 cards to as large as an engineering drawing. The term "documents" includes pictures, brochures, signature cards, legal files, paper documents, etc.
How do I make my documents "scan ready"?
"Scan ready" means the paper document is "prepared to go through the scanning equipment." For your convenience DMC will prep the documents at a nominal fee. Prepping documents requires all staples and other paper fasteners are removed from the files and the pages are excessively wrinkled, torn or otherwise damaged. The pages are all oriented the same way and facing the same direction. The files are separated and labeled in a logical way to how you would store and access them normally. DMC will also sort your documents if you desire.
Are there a minimum number of documents required to request your service?
No. DMC can help you determine the most cost-effective method to address your storage, retrieval and archival needs. There is a $500.00 minimum job fee.
What is the cost to convert my documents to electronic format?
The cost will depend on the type of conversion and retrieval plan which bests suits your needs. DMC can assist you in compiling a model that best meets your goals and budget. Please contact us for further detail: sales@datamicroimaging.com.
What is the turn around time?
Turn around time depends on the number of documents, the type of conversion requested, advanced notice and our current job schedule. DMC strives to meet all time constraints, if you have one please contact us and we'll create a plan that meets your schedule.
Do the images undergo any type of processing?
Images can be de-skewed and borders removed. We steer away from de-speckling and dropping background colors because data can be lost.
Can more than one person in our office access the scanned documents at the same time?
Yes. If your office has a LAN (local area network) or WAN (wide area network), document CDs may be placed in CD-ROM players that are accessible on the network.
